U.S. Notice and Consent for Job Applicants
Georgia and Florida
This notice explains how Tourlane Inc. (“Tourlane,” “we,” “us”) collects and uses personal information about you when you apply for a position with us, if you are located in, or applying for a role based in, the State of Georgia or the State of Florida. It supplements, and does not replace, any offer letter, employment agreement, or other communication you receive from us. If you are applying from outside the United States, or the European Union/UK privacy notice on our careers page applies to you instead, please refer to that document.
1. Who We Are
Tourlane Inc., 1175 Peachtree Street NE, Atlanta, GA 30361, USA, e-mail: hr@tourlane.com, www.tourlane.com, is part of the Tourlane group of companies, together with Tourlane GmbH (Germany). Tourlane Inc. is responsible for the information described in this notice.
2. Information We Collect
Depending on how you apply and how far you progress in our process, we may collect:
- Application information you provide through our application portal (operated on our behalf by Ashby, Inc.) or by email – for example your name, contact details, resume/CV, cover letter, and any information you choose to import from LinkedIn or similar profiles, or provide voluntarily (e.g., career goals, references).
- Technical information generated automatically when you use the application portal (e.g., IP address, browser and device information, session cookies), used only to keep the portal running securely.
- Interview recordings and AI-generated transcripts or summaries, created using Metaview, but only for interviews where you have given your consent (see Section 4).
- Skills or aptitude assessment results, created using HiPeople, but only where an assessment is part of your specific process step and only with your consent.
3. How We Use Your Information
We use the information described above to: evaluate your qualifications and fit for the role you applied for; communicate with you about your application; organize and document our interview process; comply with applicable recordkeeping and equal employment opportunity laws; and, where you have consented, record and transcribe interviews or administer assessments to help us evaluate candidates more consistently. We do not use your application information for advertising or marketing purposes, and we do not sell it.
4. Interview Recording – Your Consent Is Always Required
Georgia and Florida both have criminal laws that govern the recording of conversations. Florida requires the consent of every participant before any conversation – audio or video – may be recorded (Fla. Stat. § 934.03). Georgia allows one participant to consent to an audio-only recording, but requires the consent of everyone present for a video recording (O.C.G.A. § 16-11-62). To keep our process simple and consistently protective of your rights, Tourlane requires your clear, affirmative consent before recording any interview with you – whether by phone or video, and regardless of whether you are located in Georgia, Florida, or elsewhere.
We collect this consent in two steps. First, when you submit your application through our portal, you can opt in via a checkbox indicating that you are willing to have interviews recorded and transcribed using Metaview. Second, immediately before any interview we intend to record – with the recording still off – your interviewer will confirm this with you out loud and ask whether you still agree to be recorded. Only if both steps are completed does the interview get recorded. You are free to decline at either step: if you do, we will not record the interview, your interviewer will take notes by hand or by typing instead, and your decision will have no effect on how your candidacy is evaluated. You may also withdraw your consent at any point during a recorded interview, including after recording has started, simply by telling your interviewer – recording will stop immediately.
Recordings and transcripts are used only for internal documentation and follow-up of your interview, are shared only with Tourlane staff involved in your hiring process, and are retained according to Section 8 below.
5. AI-Assisted Tools and Human Decision-Making
Some of the tools we use – including Metaview's transcript summaries and HiPeople's assessment scoring – use artificial intelligence to help organize information for our recruiters and hiring teams. No hiring decision about you – including a decision not to move forward with your application – is ever made solely by an automated tool. A person always reviews your full profile, including your interview performance and any assessment results, before any decision is made.

6. Background Screening and the Fair Credit Reporting Act
If Tourlane obtains a background check or similar report about you from a third-party consumer reporting agency for employment purposes, federal law (the Fair Credit Reporting Act) and applicable state law require us to provide you with a separate, stand-alone disclosure and to obtain your separate written authorization before doing so, and to provide required notices if a decision is made based in whole or in part on that report. Any such disclosure and authorization, where applicable, will be provided to you separately and is not part of this notice.
7. Who We Share Your Information With
We share your information with service providers who help us run our hiring process, under contracts that limit their use of your information to providing services to us:
- Ashby, Inc. – operates our application portal.
- Metaview Global Ltd. – provides interview recording and transcription, only for interviews you consent to record.
- HiPeople GmbH – provides skills and aptitude assessments, only where used in your process.
We may also share information where required by law, to respond to legal process, or to protect the rights, property, or safety of Tourlane, our candidates, or others – for example, if we are required to do so by a court or government agency. We do not sell your personal information.
8. How Long We Keep Your Information
We generally keep your application information for the duration of the hiring process. If we do not hire you, we retain your application records – including any interview recordings, transcripts, and assessment results – for at least one year from the date of our decision, consistent with U.S. federal recordkeeping requirements for employers (29 C.F.R. § 1602.14 under Title VII and the ADA; 29 C.F.R. § 1627.3 under the ADEA), and longer if needed to respond to a charge, claim, audit, or legal hold. If, with your separate consent, we keep your information in our talent pool to consider you for future roles, we retain it for up to 12 months from that consent, and you may withdraw that consent at any time.
9. Your Choices
You may, at any time, ask us to review or correct the information you submitted, ask us to delete it, withdraw your consent to interview recording or to an assessment (understanding this may affect our ability to complete certain evaluation steps), withdraw your talent pool consent, or withdraw your application entirely. To do any of this, contact us using the details in Section 1 or e-mail hr@tourlane.com.
10. Changes to This Notice
We may update the tools or service providers described in this notice – including adding further AI-assisted features – as our hiring process evolves. We will post material changes here; the version available on our careers page at the time of your application governs.
